FoamSync CRM

FoamSync Studio ships with a full order-to-production CRM — the same system that cuts the foam also runs the shop. It’s a separate web app at crm.foamsyncstudio.com: your office takes orders, freezes them into production specs, releases them to the shop floor, and the cutter itself reports real cut times back. Everything from the customer’s first enquiry to a §14-compliant Rechnung lives in one place.

In one sentence: the office plans and prices; the shop executes; FoamSync cuts and reports back — automatically.

The model (worth understanding first)

Three things are kept deliberately separate:

  • Order — what the customer asked for, in their words, with pricing and dates.
  • Production spec — the frozen, versioned instruction for the shop: the FoamSync generator and its exact parameters, read-only once released.
  • Job — the spec on the shop-floor queue, walked through stages.

The office authors and freezes the spec; the shop executes it. The office can advise on a job (consultative notes) but never moves it through production — that’s the shop’s call. This split is what keeps the loaded toolpath and the shop’s reality from silently drifting apart.

Getting access

The CRM comes with your Studio licence. Your organisation is set up bound to the email on your licence — sign in at crm.foamsyncstudio.com with that email.

  • Passwordless sign-in. Enter your email → you get a one-time sign-in link (valid 15 minutes). No password to remember or leak.
  • Your team. From Settings → Team, the owner invites office and shop staff. Roles: owner (full control + billing), office (orders, specs, invoicing — read-only on the floor), shop (the production board). Team members don’t each need a Studio licence — they’re users of your organisation.
  • Shop terminals sign in with a one-time station link (owner generates it from Team) — no email needed at the machine.

Connecting your FoamSync cutter to the CRM

This is the machine bridge — it lets a cutter (or shop terminal) pull its job queue and push cut status + telemetry back automatically. One token per machine, revocable any time.

1 · In the CRM — issue a machine token

Go to Settings → Machines → “+ Connect machine”. Name the machine (e.g. Halle 1) and copy the token — it’s shown only once.

2 · In FoamSync — enter the token

Open WORKSHOP mode → the COMPANY tab. Fill in:

  • CRM URLhttps://crm.foamsyncstudio.com
  • Machine token — the one you just copied
  • Enable CRM sync — on

3 · Pull the queue

Switch to the OFFICE QUEUE tab (next to COMPANY) and press Refresh. Jobs the office released appear oldest-first. Select one and Open — FoamSync loads the exact generator and parameters from the frozen spec, ready to nest and cut.

4 · It reports back on its own

As you cut, FoamSync pushes the job’s status and telemetry — real cut time and block count — back to the office. Those actual numbers feed planning and costing, so the office prices from reality, not guesses. A new note from the office shows an unread dot on the OFFICE QUEUE tab.

Security: the token is the only coupling between FoamSync and the CRM, it’s stored sealed on the client, org-scoped, and revocable from Settings → Machines at any time. On a 401 (revoked or wrong), re-issue and re-enter it.

How a job flows, end to end

  1. Office captures the customer order and authors a production spec (a FoamSync generator + parameters, or an attached file + dimensions).
  2. Office freezes the spec and releases it to the shop.
  3. Shop pulls it in OFFICE QUEUE, opens it in FoamSync, nests and cuts.
  4. FoamSync pushes status + real cut time + blocks used back; the office sees the job walk queued → cut → assembled → QC → done.
  5. Office raises the Rechnung (with VAT handled and DATEV-ready).

Roles at a glance

  • Owner — everything, plus team and billing profile.
  • Office — orders, quotes, specs, materials, planning, costing, invoicing. Read-only on the shop floor; advises via notes.
  • Shop — the production board: pull jobs, walk stages, post cut photos and notes.
